Time tracking is a premium feature for projects in workspaces under an Enterprise plan.
This article is for tracking time from inside a task in a project or on the On My Plate (OMP) Task list page. If you want to track time on the OMP Timesheet page, click here for article on using the OMP Timesheet.
How-to Video
Enter time on a task in a project
Time can be added to a task in a project or a project task on the OMP Task list page.
- Go to a task in a project.
- Assign yourself to the task or go to a task you are assigned to.
- Option 1 — Click the task to expand the Description view and then click the TIME tab.
- Enter your time in the day cells and click enter or tab out of the cell to submit the time. You can add fraction of an hour, such as 3.5 or 4.25.
- Option 2 — When the task is collapsed, click on the dash icon between the start and due date of the task. This pops up a popup with the duration and work time fields. Enter your hours you want to add for today and then hit enter or click outside to submit. In this popup, you can click on the blue expand text to quickly go to that task's TIME tab view.
- In the TIME tab view, you can add tags to a time line, such as "Billable", "Not-Billable", "Training", etc.
- Watch the above video for all time tracking features.
- NOTE: The added hours will automatically show up in the OMP page's Timesheet for that task and day.
User permissions
- A user with the Project Admin or Workspace Admin permission can edit anyone's time on any task.
- A project team member permission user can only enter time in their own assigned tasks.
- If there are two or more people assigned to a task, each person will have their own time tracking line.
Creating and Managing Time Tags (Categories)
All tags are managed at the organization level. When you create a tag to be used in one project, it will be available to be used in any other project in any other workspace within your organization.
How to add a new tag at the project task or on the OMP Timesheet page —
- To the right of the time bar, click the Add Tag button to open the tag editor.
- Click on the tag line to show the dropdown list of existing tags. Select the tag you need or if the tag is not in the list, type in the tag label and hit your enter key.
- You can remove a tag by clicking the tag's "X".
How to update the tag dropdown list —
(Note: To do this, you need to have organization admin permission. You will need to contact that person and ask them to update it for you if you don't have this permission.)
- Go to the Settings/Workspace page and hover over your organization's bar and click the tag icon button.
- This page will show what is being used across your organization.
- To add a new tag, click the Add Tag button.
- Te remove a tag, click the "x" inside the tag bubble. This will remove the tag from the tag dropdown list inside the project or in the OMP Timesheet page. Note that this will not remove any tags that are already being used for time line items. It only removes it from the dropdown list of choices.
- If your tag is misspelled, you cannot change the spelling of an existing tag. You can create a new tag with the correct spelling and remove the old tag, but since removing the old tag doesn't update the tags being used in the project timesheet line items, they won't get the update unless you open up every single timesheet item and change them there. As you can guess, this would be very time consuming to do, so be sure to label your tags correctly.
Extra tips for time lines
- You can either enter a time fraction such as 5.25 for 5 hours and 15 minutes, or you can enter the time as 5:15, which will convert it to the fraction for consistency.
- Move forward and backward each week with the left and right arrows on ends of the week headers.
- Click the month/year header to popup a calendar. This is useful for quickly navigating to a different week.
