This article explains how to export project data with the Data Download reports. You can export the projects with certain structures as raw data for importing into other tools and BI analytic tools. The exports are in the format as CSV or Excel.
Available Data Download Reports
- Task Data - report on tasks and their progress
- Assignments Data (Including Task Total Effort & Work Hours) - report on people assignment and their workload
- Timesheet Data - report on time tracking
- Data Field Data - report on the use of the data field features
- Post Data - report on the message, issue/risk, and idea posts.
Note: If a project has no tasks yet, then that project will not show up in the Task Data report. If a project has no posts, that project will not show up in the Post Data report.

How to export
- Click the Reports button in the left navigation bar menu that looks like this to open the Reports page.
- Click the Data Download tab.
- In the Organization dropdown field, click to select your organization.
- Click on a report bar to expand and read what the report is all about.
- Click either Excel download or CSV download buttons to download the export file.
- Open your Excel or CSV with Excel and then you can manipulate your data, open it in Excel Pivot Tables, or import it into your favorite BI or analytics tool.
Permissions & Visibility
Organization, workspace, and project permissions determines who can see what data.
When a person selects the organization to download project data, these permissions can see the following:
- Organization Admin — Can see all project data across all workspaces within the organization.
- Workspace Admin — Can see all project data only within their workspaces.
- Project Admin — Can see only project data where they are the project admin.
- If a person holds a combination of the above permissions, then their highest permission will determine the scope of their project data visibility.
- If a person doesn't hold any of the above permissions, then they will not see any data in the data download file. It will be an empty file.
When to use Task Data
This is for creating reports that report on task progress, such what percent of my projects are done versus not started. This view doesn't contain people or role assignments. The reason is if it did, the data would get duplicate tasks since some tasks are are assigned to more than one person or role. Therefore, if you need to look at people (member) or role assignment data, then use the Assignments view.
When to use Assignment Data (Including Task Total Effort & Work Hours)
This is for creating reports that report on people (member) assignments and your custom role assignments or both in combination. This report also includes data columns for task total effort hours and works hours posted.
This view doesn't contain any task that is not assigned to a member or a role. If you're looking for overall progress productivity data on all tasks, use the Tasks view table.
When to use Timesheet Data
This is for creating reports that report on the time people logged against projects, project tasks, or non-project activities.
When to use Data Fields Data
This is for creating reports that report on the the Data Fields feature where you can report on the project data fields.
When to use Post Data
This is for creating reports that report on the messages, issues and risks, and new ideas that your team members post in the project.
