You can add keyword tags to a project. This is helpful for filtering a list of projects based on that tag. For example, you could have a tag called "high priority" attached to your important projects and then filter the list of projects to show only those.
Permissions: Only the Project Admin and the project's Workspace Admin has permission to set or change tags on the project.
How to add a project tag.
- Open the project's configuration page. You can get there either by clicking the pencil icon next to the project name in the project list page or when a project is open, click the pencil icon in the upper right corner of the page.
- On the config page, there is a row of action buttons. Click the tag button.
- Click in the tag field. You can either select and existing tag or type in your new one (clicking enter key to create it). NOTE: Your previously created tags in the dropdown list would be tags created within this project or any other projects within the same workspace as this project's workspace.
- Click UPDATE to update the project.
How to filter a project list using tags.
- On the Project List page, click the Filters button. This will slide open the filters drawer.
- Click the Project Tags dropdown. You should now see your new tag in the list.
- Click the tag and your project list page will filter to projects with that tag.
How to filter using "Or" and "And" logic.
Let's say you have projects with tags and some projects with more than one tag. Sometimes you may want to filter your project list page with an "or" or an "and" filtering logic.
When you open the Filters drawer and then select more than one project tag to filter, you will see two radio buttons for the options of "Or" and "And" logic as shown. By default, the "Or" is selected.
The question mark to the right of the radio buttons is a popup tip explaining the following differences:
"Or" Logic: Filter will show projects that have at least one of these tags you have selected.
"And" Logic: Filter will show projects that have at all of these tags you have selected. For example, if you have one project with both tags Apple and Bookkeeping and all other projects have either Apple or Bookkeeping, but not both, then your result will just be that one project that contains both Apple and Bookkeeping tags.
How to remove a tag.
- Open the project to its configuration page.
- Click on the tags icon in the row of action buttons.
- In the tag's bubble, click the "X" and this will remove that tag from that project.
- If you have multiple tags assigned to your project and you want to remove all of them at once, click the "X" way over to the right of the tags line.
How to delete a tag.
You will need to remove the tag from each project in order to delete a tag from the tag dropdown list.
- Use the filter on the Project List page and filter the list to the tag you want to delete.
- Then open each project to it's configuration page (pencil icon) and remove the tag.
- Once all projects have this tag removed, then the tag will disappear from your list.
Who sees what tag when adding tags.
- Tags are shared within a workspace for the same project admins. If a project admin creates a tag in one project and then goes to add a tag to an other project under the same workspace, and click the tag dropdown list, they will see the tags used in other project.
- Tags are shared within a workspace for a project admin who is a member of another project. When they create a new project and goes to the tag dropdown list, they will see tags used in the other project.
- Tags are shared across workspaces under an organization for those with the right permissions. For example, in the first two scenarios above, it would work the same across different workspaces living under the same organization.
- Tags are not shared across organizations or across workspaces living outside of an organization.
