A workspace lives under an organization. It's a place to contain projects and recipes under one business unit. To get to a workspace's people and role pages, follow these steps:
- Click your avatar to open the Settings options and select Workspaces.
- Expand your organization bar to see its workspaces.
- Click the people icon when hovering over the workspace bar to open the people assignment view.
This article will cover both the PEOPLE and the ROLES tabs.
Workspace PEOPLE sub-tab
This is where a Workspace Admin can add members to a workspace and give them certain permissions. To add people to your account or your projects and tasks, you don't need to go to the Workspace page to add them. You can easily add them at the project or project task level, and if you are the workspace admin, you can assign special workspace permissions at those locations.
However, you can go to the Workspace page and add people there for a quick way to add multiple people and give them special workspace permissions at the same time. Later on, you can add them to specific projects and tasks and they will already have all workspace permissions set up.
Add person to workspace
- Expand your workspace.
- Click the people icon.
- In the search field, enter the person's name or email to invite.
- In the person's profile, you can specify certain workspace permissions.
- Click Create (or Update).
Remove person from workspace
- Expand your workspace.
- Click the people icon.
- In the PEOPLE tab, find the member using the search or scrolling and click on their name bar to expand.
- In the upper right corner click the "remove" button and follow the instructions.
Workspace ROLES sub-tab
Roles on this page shows the roles that were created at the project or recipe level and assigned to be used by other projects or recipes in this workspace.
This is how roles get on this list —
When a project admin or recipe admin creates a role for a task on a project or a recipe, that role is listed in the Workspace ROLES tab. For example, when they go to create a role on a task and click on the roles field, they would see a dropdown list of available roles already created in other projects or recipes in the current workspace. They can pick from the existing list or type in the name of a new role. The list of roles they see in the dropdown is the same list of roles you see on the Workspace's ROLES tab page. As a Workspace Admin, you can then go to Settings the then the organization's workspace roles list view to manage the roles. You cannot create new roles in this list, but you can remove, rename, or add role billing rates. See the following for how-to details.
How-to Video for Managing Roles List and Role Billing Rates
Finding the ROLES view
- Expand your workspace.
- Click the people icon.
- Click on the ROLES tab.
- You can scroll this list of roles or use the search field to find and filter the list.
Rename role
- Expand your workspace.
- Click the people icon.
- Click the ROLES tab.
- Click on the role to select it.
- Click the pencil icon.
- Edit the name.
- Hit enter key or click anyplace outside of field to update.
Delete role
Note that this will not remove the role from use in projects and recipes. All it will do is remove it from the dropdown list of available roles when creating a new role for a task.
- Expand your workspace.
- Click the people icon.
- Click the ROLES tab.
- Click on the role to select it.
- Click DELETE to remove the role from the list.
Add role
Adding a role on the Workspace roles list page is not possible. To add a role, do so on the project or recipe level and then it will automatically show up in the Workspace's Roles tab.
Add a billing rate
When you click to open a role in the Workspace's Roles view, you will see a currency field for the role's billing rate. A billing rate for a role that is set at the workspace level will be the default rate for that workspace's projects. However, you can override that default rate at the project level and that new rate will only affect that project. If you want that rate to become the new default, then go back to the workspace's role page and change it there.. Important — The rate you enter is only for that role under its associated workspace. If you have that same role in another workspace, you will need to set that role's billing rate independently.
